Surrey Water Polo Club (“SWP,” “we,” “us,” or “our”) is committed to protecting the privacy and personal information of our athletes, parents, guardians, members, and website visitors.

This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you use our website, register for our programs, request a free trial, communicate with us, or submit information through advertising platforms such as Facebook and Instagram.

1. Personal Information We Collect

Depending on how you interact with Surrey Water Polo Club, we may collect:

  • Parent or guardian name, email address, and phone number
  • Athlete name, date of birth or age
  • Swimming ability, preferred program, and preferred location
  • Registration and program participation information
  • Messages and information you provide when contacting us
  • Information submitted through Free Trial forms, registration forms, or Meta/Facebook/Instagram Instant Forms
  • Website and device information such as IP address, browser type, device type, cookies, and analytics information where applicable

2. How We Use Personal Information

We may use personal information to respond to inquiries and Free Trial requests; recommend an appropriate swimming or water polo program; register athletes and administer programs; communicate schedules, program updates, cancellations, events, and club information; provide customer service; maintain appropriate club and participation records; improve our programs, website, advertising, and communications; measure the effectiveness of advertising campaigns; and meet legal, regulatory, insurance, safety, and administrative requirements.

We collect and use personal information only for purposes that are reasonable and relevant to our programs and operations.

3. Meta, Facebook and Instagram Lead Forms

Surrey Water Polo Club may use Meta advertising products, including Facebook and Instagram Instant Forms, to allow parents and guardians to request information or a Free Trial.

When you submit an Instant Form, information may initially be processed by Meta Platforms and then provided to Surrey Water Polo Club. Meta’s own privacy policies and terms also apply to its processing of information on Facebook and Instagram.

We use information received through these forms primarily to contact you about the program or trial you requested and to assist with registration.

4. Sharing of Personal Information

We do not sell personal information.

We may share information with service providers that help us operate our programs and business, such as registration and membership systems, website and hosting providers, email and communication services, payment providers, analytics platforms, advertising platforms, and other technology providers.

We may also disclose information where required or permitted by law.

Service providers are expected to use personal information only for the services they provide to us and to protect it appropriately.

5. Children’s Information

Our programs are designed for children and youth, and we take their privacy seriously.

Registration, Free Trial requests, and similar inquiries concerning a minor should be completed by a parent or legal guardian. We use information about an athlete only for legitimate purposes related to participation, program placement, administration, safety, and communication.

Any separate use of photographs, videos, testimonials, or similar promotional material may be subject to additional consent where appropriate.

6. Consent

By providing personal information to Surrey Water Polo Club, you consent to its collection, use, and disclosure for the purposes described in this Privacy Policy, subject to applicable law.

Where consent is required, you may withdraw it by contacting us, subject to legal, contractual, safety, or administrative requirements.
